Course Introduction

Microsoft 365 Copilot brings AI into the applications people already use every day. It can draft and summarise documents, suggest formulas and analyse data, build presentations from a document, summarise email threads, and recap meetings, all grounded in the user’s own work content and permissions. 

 

This practical, interactive one-day course shows participants how to use Copilot in Word, Excel, PowerPoint, Outlook, Teams, and OneNote to automate routine tasks, work faster, and improve communication. Demonstrations and guided exercises on realistic workplace scenarios build the habit that matters most: giving Copilot a clear prompt, then checking and refining what it produces before it is used. 

Participants also learn what Copilot can and cannot do, how it handles organisational data, and how to use it responsibly and securely. No prior AI experience is required. 

 

Copilot is available in different forms: Microsoft Copilot Chat, which is included with many work accounts and answers from the web, and Microsoft 365 Copilot, a paid licence that works inside the Microsoft 365 apps and across your organisation’s content. Features, licensing, and app availability change often and differ by organisation. Hands-on exercises in the apps need a Microsoft 365 Copilot licence. Participants without one can still practise the prompting skills with Copilot Chat, and the facilitator confirms what is available at the start of the day.

By the end of this course, participants will be able to: 

  • Explain what Microsoft 365 Copilot is, how it differs from Copilot Chat, and what it does with your data 
  • Write clear prompts, and refine them, to get better results 
  • Use Copilot in Word to draft, edit, summarise, and refine documents 
  • Use Copilot in Excel to analyse data, generate formulas, and surface insights 
  • Create and improve presentations using Copilot in PowerPoint 
  • Draft and manage emails, and summarise threads, using Copilot in Outlook 
  • Improve meeting productivity and collaboration with Copilot in Teams, and capture notes in OneNote 
  • Check Copilot’s output for accuracy, and recognise its limits 
  • Use Copilot responsibly and securely, including with confidential and personal information (POPIA) 
  • Identify practical workplace uses of Copilot across departments

Day 1 — Microsoft 365 Copilot in Your Everyday Apps
Session 1: Introduction to Microsoft 365 Copilot and Prompting
  • AI in the workplace, and what Copilot is: Copilot Chat versus Microsoft 365 Copilot
  • Key capabilities and benefits, and how Copilot uses your organisation's content and permissions
  • Effective prompting: goal, context, source, and expectations, and refining a result
  • Responsible and ethical use: checking output, confidential and personal information (POPIA), and your organisation's AI policy
  • Practical Exercise: Write and refine a prompt for a task from your own job, and compare the results
Session 2: Copilot in Microsoft Word
  • Drafting business documents, and rewriting and improving content
  • Summarising long documents, and creating reports, letters, and meeting notes
  • Using your own files as source material, and formatting and document enhancement
  • Practical Exercise: Draft a report from a source document, then check it against the source and refine it
Session 3: Copilot in Microsoft Excel
  • Generating formulas and functions, and explaining existing ones
  • Analysing datasets, and creating PivotTables and charts
  • Identifying trends and insights, and data visualisation techniques
  • Checking Copilot's results: verifying figures before you rely on them
  • Practical Exercise: Analyse a sample dataset with Copilot, and verify the key figures yourself
Session 4: Copilot in Microsoft PowerPoint
  • Creating presentations from prompts or from documents
  • Designing professional slides, and enhancing structure and flow
  • Generating speaker notes, and summarising reports into presentations
  • Practical Exercise: Turn a report into a short presentation, then edit the story and design
Session 5: Copilot in Outlook, Teams and OneNote
  • Outlook: drafting professional emails, summarising email threads, and preparing for meetings
  • Teams: AI-assisted meeting recaps, action items and follow-ups, and chat summaries (recap needs transcription or recording to be enabled)
  • OneNote: capturing and summarising notes
  • Improving collaboration and communication efficiency
  • Practical Exercise: Summarise a long email thread and draft a reply, then produce action items from a sample meeting
Session 6: Practical Workplace Applications and Next Steps
  • Applying Copilot across departments: HR, finance, operations, sales, and projects
  • An introduction to agents: reusable assistants for repeated tasks, and when they are worth building
  • Productivity strategies and best practices for AI adoption, including what not to use Copilot for
  • Building your personal Copilot plan: five tasks to start with this week
  • Practical Exercise: Build your personal Copilot plan, with a prompt for each task
