Course Introduction

This Basic Microsoft Outlook course aligns with Unit Standard 116945, “Use electronic mail to send and receive messages” (NQF Level 2, 2 Credits, valid for enrolment until 30 June 2028 and for achievement until 30 June 2031). The unit standard is intended for people who need to use electronic mail to send and receive messages, either as a general computer user or as basic knowledge for a career in a field such as ICT.

Day 1 — Basic Microsoft Outlook
Module 1: Understand the Concepts and Terms of Electronic Messaging
  • The structure of an email address, explained using an example
  • Aspects of email etiquette, described with examples
  • The benefits of using email within a specific context
  • The limitations of using the Internet, explained with examples
Module 2: Create and Send an Email Message
  • Opening and closing the email application
  • Addressing a message to the required recipients
  • Writing a message header (subject) consistent with the message's purpose and target audience
  • Editing message text and checking it for spelling mistakes prior to sending
  • Attaching a file to an email message, and deleting an attachment from a message
  • Establishing a connection with an Internet Service Provider
  • Sending an email so that it is received by the intended recipients
Module 3: Receive and Respond to Emails
  • Identifying the senders of incoming mail
  • Displaying the contents of incoming emails
  • Observing precautions when receiving mail
  • Viewing received email messages in the inbox
  • Processing attached files according to given specifications
  • Highlighting incoming mail according to required specifications
  • Responding to incoming mail according to given specifications
Module 4: Print an Email Message
  • Printing an email message to the default printer
Module 5: Work with Multiple Email Messages
  • Opening a number of email messages for processing
  • Switching control between open email messages
  • Manipulating text between active email messages
  • Copying text to an email message from another source
  • Deleting text from an email message

Module 6: Adjust Settings to Customise the View and Preferences of the Email Application
