AI assistants such as ChatGPT can now write Excel formulas, explain a messy spreadsheet, suggest how to clean a dataset, and draft a summary of the findings. Used well, this saves hours. Used carelessly, it produces confident-sounding results that are wrong, and it can put sensitive data in the wrong place.

 

This practical one-day AI-Assisted Data Analysis in Excel course shows participants how to combine Excel’s own tools (formulas, Power Query, PivotTables, and charts) with an AI assistant for data cleaning, analysis, visualisation, and reporting. Throughout, participants practise the discipline that makes AI-assisted analysis trustworthy: checking every result, and protecting confidential and personal data.

By the end of this AI-Assisted Data Analysis in Excel course, participants will be able to:

  • Explain the role of AI and ChatGPT in modern data analysis, including its limits
  • Write effective prompts that get usable formulas, explanations, and analysis steps
  • Use AI to support data cleaning and preparation in Excel, together with Excel’s own tools
  • Perform descriptive analysis in Excel using formulas, PivotTables, and conditional formatting
  • Generate summaries, insights, and report drafts with ChatGPT, and check them against the data
  • Create charts and simple dashboards in Excel
  • Verify AI-produced formulas and results before relying on them

Day 1 — AI-Assisted Data Analysis in Excel
Session 1: AI and ChatGPT for Data Analysis
  • The role of AI in modern data analysis, and what ChatGPT can and cannot do with a spreadsheet
  • Ways to use AI with Excel: asking for formulas, uploading a file, and AI features inside Excel
  • Writing effective prompts for data tasks: describe the columns, the goal, and the output you want
  • Responsible use: what never to upload, anonymising data, and your organisation's AI policy (POPIA)
  • Practical Exercise: describe a sample dataset in a prompt, and compare the results of a vague prompt and a precise one
Session 2: Data Preparation and Cleaning
  • Data types and structures, and what analysis-ready data looks like
  • Removing duplicates and inconsistencies, handling missing data, and fixing dates, text, and numbers stored as text
  • Formatting and structuring datasets, and an introduction to Power Query for repeatable cleaning
  • Using AI to suggest a cleaning plan and write the formulas, then checking what changed
  • Practical Exercise: clean a messy sales or HR dataset using Excel tools and AI, and log every change
Session 3: Formulas and Functions with AI
  • Essential functions for analysis, including modern lookup, filter, and unique functions where your Excel version has them
  • Asking AI to write a formula, explain an unfamiliar one, and debug an error
  • Testing a formula on known answers before applying it to the whole dataset
  • Practical Exercise: generate three formulas with AI, and prove each is correct on a small sample
Session 4: Analysis Techniques in Excel
  • Sorting and filtering data
  • PivotTables and PivotCharts
  • Conditional formatting for analysis
  • Using AI to suggest which questions to ask of the data, and to interpret a PivotTable
  • Practical Exercise: build a PivotTable to answer three business questions, and use AI to draft commentary
Session 5: Data Visualisation and Reporting
  • Choosing the right chart, and creating charts and graphs
  • Building a simple dashboard, and visual storytelling with data
  • Using AI to draft report summaries and key messages, and checking each number against the data
  • Presenting insights effectively
  • Practical Exercise: build a one-page dashboard with an AI-drafted summary, verified against the source data
Session 6: Verification, Automation and Workflow
  • Why AI results can be wrong: misread columns, invented figures, and silent errors, and a simple verification checklist
  • Automating repetitive tasks: reusable prompt templates, recorded actions, and AI-written scripts or macros, with a caution on running code you do not understand
  • Practical business applications of ChatGPT and Excel together, and building your own workflow
  • Practical Exercise: design an AI-assisted workflow for a recurring report in your own work, with its checks
