Course Introduction

Well-mapped, well-documented processes are the foundation of good governance, consistent service delivery, and effective risk management — a priority that has only grown for regulated and public-interest organisations as they face increasing scrutiny of internal controls, accountability, and operational resilience. This Business Process Mapping and Documentation programme is a practical, hands-on course that equips participants with the skills to identify, map, analyse and document business processes using industry-standard tools and techniques, including Microsoft Visio.

The programme moves participants from process fundamentals through to practical, tool-based mapping and formal documentation, with an emphasis on building processes that are clear, usable, auditable and ready for continual improvement. Wherever possible, delegates work with examples and exercises drawn from their own organisational processes, so that what is learned in the room can be applied directly to real workplace processes immediately after the training.

Course Objectives

By the end of this Business Process Mapping and Documentation course, participants will be able to:

  • Explain the fundamentals of Business Process Management (BPM) and why process mapping and documentation matter for governance, risk and service delivery
  • Identify processes and define their scope, boundaries, inputs, outputs and stakeholders
  • Map end-to-end processes accurately, from process identification through to a validated as-is process map
  • Develop clear, professional process flowcharts and swimlane (cross-functional) diagrams
  • Use Microsoft Visio to build, format and maintain practical process maps and diagrams
  • Analyse mapped processes to identify risks, control gaps, inefficiencies and opportunities for improvement
  • Produce structured process documentation, including process narratives, procedures and supporting artefacts
  • Validate documented processes with process owners and stakeholders
  • Apply a practical approach to continual process improvement and keeping documentation current

Who should attend?

  • This course is designed for business analysts, process owners, risk and compliance officers, internal auditors, operations and department managers, quality assurance staff, and any professional responsible for documenting, analysing or improving organisational processes.

Training Outline

Day 1 — BPM Fundamentals and Process Identification
Module 1: Business Process Management Fundamentals
  • What a business process is, and the difference between processes, procedures and tasks
  • Why process mapping and documentation matter for governance, risk management and service delivery
  • Core, support and management processes
  • The process lifecycle: identify, map, analyse, document, validate, improve
Module 2: Process Identification and End-to-End Mapping
  • Identifying processes and defining process scope, boundaries, inputs, outputs and customers
  • Identifying process owners and key stakeholders
  • Gathering process information: interviews, walkthroughs, and reviewing existing documentation
  • Sequencing activities and decision points into an accurate end-to-end process flow
  • Practical Exercise: Identifying and scoping one of your organisation's own processes for mapping.

Day 2 — Flowcharts, Swimlane Diagrams and Practical Mapping in Visio
Module 3: Developing Process Flowcharts and Swimlane Diagrams
  • Flowcharting conventions: standard symbols, decision points and connectors
  • Building clear, readable process flowcharts
  • Swimlane (cross-functional) diagrams: showing roles, handovers and accountability across departments
  • Choosing the right diagram type for the audience and purpose
Module 4: Practical Process Mapping Using Microsoft Visio
  • Visio essentials: templates, shapes, stencils and formatting for process diagrams
  • Building flowcharts and swimlane diagrams in Visio
  • Structuring diagrams for clarity, consistency and reuse across the organisation
  • Practical tips for maintaining and version-controlling Visio process maps
  • Practical Exercise: Building a flowchart and swimlane diagram of an organisational process in Visio.

Day 3 — Process Analysis, Documentation and Continual Improvement
Module 5: Process Analysis — Risks, Controls and Improvement Opportunities
  • Analysing mapped processes to identify bottlenecks, duplication and non-value-adding steps
  • Identifying process risks and evaluating existing controls
  • Spotting control gaps and single points of failure
  • Prioritising improvement opportunities using a simple impact/effort approach
Module 6: Process Documentation, Validation and Continual Improvement
  • Structuring formal process documentation: narratives, procedures, and supporting artefacts
  • Linking process maps to risk and control documentation for governance and audit purposes
  • Validating documented processes with process owners and stakeholders
  • Establishing a practical review cycle to keep process documentation current
  • Building a simple, sustainable approach to continual process improvement
  • Practical Exercise: Analysing and documenting a complete process, ready for validation with its process owner.

FAQs – Business Process Mapping and Documentation

Master business process mapping and documentation, learning process modeling techniques, workflow diagramming, workflow analysis, procedure documentation standards, and operational efficiency strategies to streamline organizational workflows.

What is covered in the Business Process Mapping and Documentation Course?
The course covers process discovery, Business Process Model and Notation (BPMN 2.0) standards, cross-functional swimlane diagrams, standard operating procedure (SOP) writing, process bottleneck identification, and workflow optimization techniques.
Who should attend the Business Process Mapping and Documentation Training?
This course is designed for business analysts, operations managers, process owners, quality assurance managers, continuous improvement specialists, and systems analysts looking to standardize and optimize organizational workflows.
How does this course help identify operational bottlenecks and inefficiencies?
Participants learn to map current-state ("As-Is") processes visually, analyze step cycle times, identify handoff friction and redundant steps, and design streamlined future-state ("To-Be") process workflows.
Will delegates learn industry-standard modeling notations like BPMN 2.0?
Yes. The training provides hands-on practice in applying BPMN 2.0 symbols, sequence flows, gateways, and events to create clear, standardized process maps that are easily understood across business and IT units.
Does the program cover creating Standard Operating Procedures (SOPs)?
Yes. Attendees learn frameworks for translating visual process models into clear, structured, and enforceable written SOPs that support staff onboarding, operational consistency, and audit readiness.
Why is formal process mapping and documentation essential for growing organizations?
Without clear process documentation, operations become dependent on individual memory, resulting in errors and scaling friction. Standardized process maps provide a clear baseline for digital transformation, automation, and ISO compliance.
