Course Introduction

Projects today run in hybrid and remote teams, under tight budgets, with technology that changes quickly. The fundamentals have not changed: a project still needs a clear purpose, a realistic plan, a motivated team, and honest reporting. What has changed is how project managers lead people and use tools, including artificial intelligence (AI), to plan, forecast, and manage risk.

 

This five-day course builds a solid, practical foundation in project management and in leading project teams. Participants work through the full project life cycle: starting and selecting projects, building and leading the team, planning and scheduling, estimating and budgeting, managing risk and change, and monitoring, controlling, and closing. Along the way they learn how AI tools can support planning, risk analysis, and reporting, and how to use them responsibly. Every module includes exercises on a realistic case study, and participants leave with a personal action plan.

 

The course is aligned to the PMI® PMBOK® Guide, Eighth Edition (November 2025), and is not a certification preparation course.

Course Objectives

  • Practical Exercise: evaluate alternative projects against selection criteria, and write the success measures for the chosen one
Module 2: Project Initiation
  • The genesis of a project: the need, the business case, and the charter
  • Defining objectives, scope, and deliverables
  • Stakeholder analysis and engagement planning
  • Practical Exercise: draft a charter and stakeholder engagement plan for the case-study project

Day 3 — Project Planning and Scheduling
Module 6: Work Breakdown and Sequencing

  • Crafting SMART plans that promote accountability
  • Practical Exercise: build a WBS and network diagram for the case-study project
Module 7: Time Estimation and Resource Allocation

Module 8: Planning Tools for Effective Communication
  • Developing Gantt charts and milestone schedules
  • Using planning software and dashboards to share the plan
  • Using AI assistants to draft plans, schedules, and meeting summaries, and checking their output
  • Practical Exercise: build a Gantt chart, and test an AI-generated draft plan against your own

Day 4 — Cost, Risk, and Baselining
Module 9: Cost Estimation and Budgeting
  • Cost estimation techniques

  • Practical Exercise: estimate costs and build a project budget
Module 10: Project Risk Management
  • Identifying risks, and building a risk register
  • Qualitative and quantitative risk analysis
  • Risk responses for threats and opportunities
  • AI-assisted risk management: using AI to identify risks, spot patterns, and forecast, and its limits
  • Using AI responsibly: data confidentiality, accuracy, bias, and POPIA
  • Case Study: analyse the risks of a project, comparing the team's risk register with an AI-generated one
Module 11: Monitoring and Control Systems, and Change Management
  • Establishing the baseline, and setting up monitoring and control
  • Change control: requests, impact assessment, and approval
  • Structuring effective project meetings

Day 5 — Monitoring, Control, Evaluation, and Closure
Module 12: Tracking Performance with Earned Value Management
  • Planned value, earned value, and actual cost
  • Schedule and cost variances, and the SPI and CPI
  • Forecasting the estimate at completion, and taking corrective action
  • Practical Exercise: calculate earned value measures for a project that is off track, and recommend corrective action
Module 13: Reporting and Evaluation
  • Reviewing and reporting project achievements
  • Honest and transparent status reporting
  • Evaluating results against objectives
Module 14: Project Closure and Handover
  • Closeout activities and the handover checklist
  • Capturing and applying lessons learned
  • Practical Exercise: prepare a closeout plan, and a personal action plan for applying the course to your own projects
