Course Introduction

Some projects meet the agreed scope, budget, and timeline and still fail to deliver real success. The outputs were delivered, but the outcomes that justified the project never arrived. A hospital, for example, may implement a new patient care system on time and within budget, and yet see no improvement in patient health outcomes.

This two-day course explores what project success really means and how performance measurement helps project managers achieve it. Participants learn to define success criteria and critical success factors, set baselines, develop key performance indicators (KPIs), and build dashboards that give a clear, early picture of performance. They apply earned value management to measure, control, and forecast performance, manage risk, change, and stakeholders, and use decision-support tools to adjust course in time. Participants leave with a practical measurement and reporting toolkit for their own projects.

Course Objectives

By the end of this Project Performance Measurement and Management training, participants will be able to:

  • Explain the difference between project outputs, outcomes, and benefits, and why value-driven project management matters
  • Define critical success factors and build success criteria into the project charter
  • Develop and implement key performance indicators (KPIs) to assess project success
  • Build and manage a project baseline for accurate tracking
  • Apply earned value management techniques to measure, control, and forecast project performance
  • Create effective dashboards and reports that present performance clearly and concisely
  • Manage risk, change, and stakeholder expectations in dynamic project environments
  • Use decision-support tools to solve problems and adjust the project in time

Who should attend?

This course is ideal for professionals who manage, oversee, or commission projects, including:

  • Project Managers, Coordinators, and Analysts
  • Team Leaders and Product Managers
  • Programme and Portfolio Managers
  • PMO and Project Control Staff
  • Senior Managers who commission project work

Training Outline

Day 1 — Defining and Planning for Project Success
Module 1: Understanding Project Success and Failure
  • What makes a project truly successful: outputs, outcomes, and benefits
  • Why projects that meet scope, time, and budget can still fail
  • Defining and implementing critical success factors (CSFs)
  • Practical Exercise: identify the CSFs for a sample project, and test them against a project that met its targets but failed to deliver value
Module 2: Value-Driven Project Management and Initiation
  • Aligning project goals with organisational value
  • Integrating success criteria into the project charter
  • Practical Exercise: write success criteria into a project charter
Module 3: Establishing Project Baselines
  • Setting effective baselines for scope, schedule, and cost
  • How baselines make accurate tracking possible
Module 4: Key Performance Indicators
  • Developing and implementing KPIs that measure project success
  • Leading and lagging indicators, and choosing the few that matter
  • Setting targets and thresholds, and who owns each measure
  • Practical Exercise: build a KPI set for a sample project

Day 2 — Measuring, Controlling, and Reporting Performance
Module 5: Managing Uncertainty: Risks, Stakeholders, and Communication
  • Identifying and mitigating project risks
  • Communicating so that stakeholder expectations stay aligned
  • Early-warning indicators of risk to project objectives
Module 6: Monitoring Performance with Earned Value Management
  • Planned value, earned value, and actual cost
  • Schedule and cost variances, and the SPI and CPI
  • Forecasting the estimate at completion (EAC), and taking corrective action
  • Case Study: calculate earned value measures for a project that is off track, and recommend action
Module 7: Dashboards and Performance Reporting
  • Principles of effective dashboards
  • Reporting performance clearly and concisely to different audiences
  • Building a one-page project dashboard
  • Practical Exercise: build a one-page dashboard from sample project data
Module 8: Change, Stakeholders, and Decision Support
  • Managing project changes effectively to stay aligned with objectives
  • Engaging stakeholders and managing expectations
  • Decision-support tools for problem solving and for adjusting the project
  • Fostering adaptability in dynamic project environments
Closing Session: Action Planning
  • Review of the two days
  • Personal action plan: the measures and reports you will put in place on your own projects
  • Course evaluation
